Job Description:

Summary:                                                                                                                               

This position works under the general supervision of the Director of Operations.  The Service Manager oversees administrative duties for the Service Department. The essential functions of this position are to supervise and coordinate activities of the service department staff to properly serve customers in a cost effective manner. 

Job Duties and Functions: 

  • Performs customer service and administrative functions to ensure effective communications with management, callers, customers, and staff;

  • Focuses on customer service and delivery of products and services;

  • Schedules ride-a-longs with service technicians to verify proper customer service techniques and technical abilities;

  • Ensures frequent reviews of monitoring station reports for required actions by the department;

  • Ensures accurate reviews of SWO’s completed by service technicians;

  • Ensures accurate monthly invoicing for services provided;

  • Ensures cost effective purchases of materials and equipment for service calls;

  • Maintains after hours on-call staff and schedules for 24/7 service support;

  • Oversee field and office staff development and growth within the department and company;

  • Provide customers complete and accurate estimates for requested services;

  • Expedites and ensures accuracy with all administrative correspondence;

  • Maintains management staff calendars to include meetings and travel arrangements;

  • Transcribes notes and dictation including meeting notes;

  • Assists in coordination of applicable site visits and schedules needed pickup and delivery of associated documents and items;

  • Performs general data entry;

  • Enquires and responds efficiently with internal and external customers regarding the status of multiple documents and projects;

  • Prepares documentation for management as requested;

  • Maintains files, logs, reports, spreadsheets and special projects;

  • Performs administrative duties as needed to perform projects to completion;

  • Works in partnership with a diverse employment environment;

  • Interacts effectively with internal and external customers;

  • Creates service work orders, quotes, purchase orders, and invoicing;

  • Maintains confidentiality at all times; and

  • Performs all other duties as assigned

Experience and Skills:

Position Specific Required:  

  • Valid state driver’s license

  • 4 contract based certificates

  • BA or 6+ Years.

Supervisory Responsibilities:  

  • This position may have 7 or more direct and/or indirect supervisory responsibilities. It is the Supervisor’s duty to mentor, train, develop, set direction, and support. The Supervisor will act as a communicator and will be a resource to improve processes and quality. It will also be the Supervisor’s job to introduce, demonstrate, and review the Leadership Principles with their team.

 

Work Environment:  

  • This job operates in the office and field. This role routinely uses tools, safety equipment, computers, photocopiers, filing cabinets, fax machines and phones. It may also routinely operate a vehicle or heavy machinery.

 

Physical Demands:  

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must frequently lift and/or move up to 15 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

 

Travel:  

  • This position requires up to 10% travel.
